How to Backup a Google Account with Google Takeout
Google Takeout is a free service provided by Google that allows you to export your data from most Google products. You can download your data as individual archives or have it transferred to another service. This is an essential step for anyone who wants to keep a local copy of their Google Account data for backup purposes, whether you are planning to leave Google, want to archive your data, or need to comply with data retention policies.
What is Google Takeout?
Google Takeout is a data export tool that creates downloadable archives of your information stored across Google services. You can export data from Gmail, Google Drive, Google Photos, YouTube, Google Calendar, Google Contacts, Google Maps, and many other Google products. The exports are delivered as ZIP or TGZ files that you can download to your computer or transfer directly to other cloud storage services. (Google, n.d.)
How to Start a Google Takeout Export
Follow these steps to begin exporting your Google Account data:
Step 1: Sign in to your Google Account and go to Google Takeout.
Step 2: By default, all Google products that contain your data will be selected. You can scroll through the list and deselect any products you do not want to include in the export. To select only specific products, click the button, then check the boxes next to the products you want to back up.
Step 3: For each product, you can click the dropdown arrow to choose specific data types. For example, under Google Drive you can select specific folders, and under Gmail you can select specific mail labels.
Step 4: Scroll to the bottom of the page and click to configure the delivery method and export settings.
Choosing Delivery Method and Export Settings
On the delivery settings page, you can configure how and when your export will be delivered:
Delivery method: Choose how you want to receive your archive. The default option sends a download link via email. You can also choose to add the archive directly to Google Drive, Dropbox, Microsoft OneDrive, or Box.
Frequency: You can choose between a one-time export or a scheduled export every 2 months for 1 year. For a single backup, select .
File type: Choose between (widely compatible) or (smaller file size). ZIP is recommended for most users as it can be opened without additional software in both Windows and macOS.
Archive size: If your total export is larger than this size, Google will split the data into multiple archive files. The default is 2 GB, but you can choose from 1 GB up to 50 GB. Smaller archives are easier to download, especially on slower connections.
Once you have configured your preferences, click to start the process.
How Long Does the Export Take?
The time it takes to create your export depends on the amount of data being processed. Small exports may be ready within minutes, while large accounts with many gigabytes of data can take several hours or even days. Google will notify you via email when your export is ready. You do not need to keep the Takeout page open while the export is being prepared — you can close the browser and return later when you receive the email.
Downloading Your Export
Once your export is ready, follow these steps to download your archives:
Step 1: Open the email from Google with the subject line “Your Google data export is ready” or “Your Google Takeout export is ready” and click the button.
Step 2: Sign in to your Google Account if prompted.
Step 3: On the downloads page, click next to each archive file. If your data was split into multiple files, download all of them.
Step 4: Extract the downloaded ZIP or TGZ files to access your data. The extracted folder will contain your Google Account data organized by product (e.g., a folder for Gmail, a folder for Google Drive, a folder for Google Photos).
The download links expire after a period of time, so make sure to download your files promptly. If the links expire, you can return to Google Takeout and create a new export.
What Data Is Included in Google Takeout?
Google Takeout can export data from most Google products. Some of the most commonly exported services include:
• Gmail — All emails and attachments, organized by label.
• Google Drive — All files and folders stored in My Drive.
• Google Photos — All photos and videos, including albums.
• YouTube — Uploaded videos, playlists, subscriptions, comments, and history.
• Google Calendar — All calendar events and settings.
• Google Contacts — All contacts and their details.
• Google Maps — Saved places, reviews, contributions, and timeline data.
• Chrome — Bookmarks, browsing history, passwords, and settings.
• Google Play Store — App install history and reviews.
• Google Classroom — Course materials and submissions (for education accounts).
Not all Google products support data export. Some services may export data in a machine-readable format rather than a human-readable format.
