Stock control (inventory management)

Aronium provides robust stock control features, allowing you to track stock levels, manage suppliers, and generate reports.

This feature prevents negative stock quantities and proactively manages stock levels by providing alerts when quantities fall below a certain threshold.

Preventing Negative Stock: The optional ability to block a sale if there is not enough stock to fulfill the order.

Low Stock Warning: Aronium provides immediate notifications when a product's quantity drops below a predefined level. This helps businesses maintain optimal inventory levels and avoid stockouts.

Reorder Reports: Aronium generates detailed reports that list products that need to be replenished, often grouped by supplier. This assists in creating new orders to bring stock back to preferred levels.

Stock control features are provided by the free "Stock Control" plugin, included with both Aronium Lite and Aronium Pro.

Electronic receipts

Aronium allows you to email receipts to customers directly from the POS system. To use this feature, you must configure the email settings within the Aronium application, which includes providing the SMTP server host, port, and your email account details. You can also customize the default subject and message of the email, and use placeholders to automatically insert information like the receipt number, date, and total amount.

Dual currency receipts

Aronium supports dual currency receipts, allowing you to display prices in two different currencies on the same receipt. This is particularly useful for businesses operating in border areas or catering to international customers.

Custom receipts

Aronium allows you to customize the layout and design of your receipts. You can add your logo, change the color scheme, and rearrange the information displayed on the receipt. This is particularly useful for businesses that want to maintain brand consistency and create a professional appearance.

Aronium supports adding a company logo to receipts. There are two primary methods for this:

Using an ESC/POS printer: If you have a compatible receipt printer, you can upload a bitmap image of your logo directly to the printer's memory. When the "Print bitmap" option is enabled in Aronium, the printer will use this stored image to print the logo on every receipt.

Using the "My Logo" plugin: The paid "My Logo" plugin will allow you to add your company logo to the login screen, which will also appear on the invoice.

Promotional discount system

Aronium offers various promotional discount features to help businesses manage their sales and customer loyalty.

Customer Discounts: You can set up specific discounts for individual customers or groups. This allows businesses to create loyalty programs or offer special pricing to certain clients. The discounts can be applied to specific products or entire product groups.

Promotions & Happy Hour: Aronium also provides a robust system for creating promotions with a variety of conditions. These can be set to be active during specific time periods, on certain days of the week, or for a particular duration

Quantity-Based Promotions: A key feature is the ability to create quantity-based discounts. This allows for promotions like "Buy two, get one free" or "Buy three, get 50% off on all three items." These promotions can be configured to apply to all items once a certain quantity is reached, or to a limited number of items after the required quantity.

Applying Discounts: Discounts can be applied to individual items within an open order. However, it's important to note that if a discount is set for a single item, adding more of the same item does not automatically apply the same discount. To apply a discount to a quantity of items, all items must be added to the sale first, and then the discount is applied to the entire group.

Discount Application Rules: Aronium also has a setting to determine whether discounts are applied before or after tax, which is crucial for managing fixed discounts and ensuring correct sub-totals and totals.

Once your promotional discount is available, you may want to promote it via the DELIVA platform to boost customer engagement.

Some advanced promotional features are available as paid plugins.

Loyalty cards

Aronium offers a loyalty card system that allows businesses to create and manage customer loyalty programs. You can issue loyalty cards to customers, track their purchases, and reward them with points or discounts.

Point-based system: The loyalty program is a point-based system, allowing you to define how many points a customer earns for each unit of currency spent (e.g., 10 points for every R1.00 spent)

Customer management: The system allows you to manage customer data, including their current loyalty point balance, and track their purchase history. It can also assign star ratings or tiers to customers based on their accumulated points.

Redemption options: Customers can use their accumulated points to pay for purchases, either in full or as a partial payment.

Automated notifications: You can configure the system to send automated notifications to customers, for example, when their points balance is updated or when their loyalty rating increases.

Custom payment types

Aronium allows you to create and customize different payment types to suit your business needs. You can define payment types such as "Cash," "Card," "Credit," "Gift Card," or any other method you use to accept payments from customers.

You can also customize the names and icons for each payment type, making it easy for your staff to identify and select the appropriate payment method during a transaction.

You can add and customize payment types via Aronium's' management section.

Credit card payment tracking

Aronium does not support credit card terminals or direct credit card processing. 4 This means you cannot directly connect a credit card machine to the software to automatically facilitate credit card transactions.

Credit card payments in Aronium are handled as a "Payment Types." The software allows you to create and customize different payment types, such as "Cash," "Card," or "Credit." When a customer pays with a credit card, the process will be manual.

First you create a new payment type called "Credit Card" or "Card" in the Aronium management settings.

During a sale, you use the Aronium POS to calculate the total and then select the aforementioned "Credit Card" payment type.

You will then manually type the total amount into a separate, standalone credit card terminal (machine) like those offered by Capitec, Yoco or Zapper.

After the payment is processed by the terminal, you confirm the sale in Aronium, which records the transaction as paid via credit card.

Credit sales

Aronium allows you to manage credit sales by creating customer accounts with credit limits. You can track outstanding balances and payment history for each customer.

When you create a payment type and uncheck the "Mark transaction as paid" option, you can use it to record a credit sale. This creates an unpaid document that you can later track and settle once the customer pays their balance.

Tax exempt sales

Aronium allows you to manage tax-exempt sales by creating specific tax-exempt customer accounts. You can track sales made to these customers and ensure that no tax is applied during the transaction.

This functionality is part of the "Tax overrides" feature, which allows you to change the tax applied to a sale on a case-by-case basis.

Before you can perform a tax-exempt sale, you must first create a tax rate within Aronium that has a rate of 0%. This will be the "tax-exempt" rate you apply to tax-exempt sales.

Notes

Aronium allows you to add notes to various documents, such as invoices and quotes. These notes can be either public or internal.

This is particularly useful for including details like serial numbers, special customer requests, or delivery instructions

Public Notes: These notes are printed on the customer-facing receipt or invoice.

Internal Notes: These notes are for staff reference only and are not printed on the customer's documents. They can be viewed within the Aronium system by you and your staff.

Notes are provided by the free "Notes" plugin, included with both Aronium Lite and Aronium Pro.

To use the notes feature, you must have the print dialog screen enabled in the Aronium settings. Once the notes are entered, you click "OK" to save them and return to the print dialog.

Floor Plans and Tables

Aronium allows you to create and manage floor plans and tables for your business. This feature is particularly useful for restaurants, cafes, and other businesses that require visual table management to track orders for specific tables.

You can easily add, remove, and rearrange tables within the floor plan, as well as assign specific tables to different staff members. This helps streamline the order-taking process and improves overall efficiency.

Access Control

Aronium includes a user management system that allows you to create multiple user accounts with different access levels. You can assign specific permissions to each user, such as the ability to process sales, manage inventory, or generate reports.

This feature is particularly useful for businesses with multiple employees, as it allows you to control who has access to sensitive information and functions within the POS system.

Role-Based Access Control (RBAC)

Aronium employs a role-based access control system, allowing you to define roles with specific permissions. You can then assign these roles to users, ensuring that each user has access only to the features and data necessary for their job function.

Audit and Document Everything

Always maintain a detailed log of all changes made to access levels, including who made the change, when it was made, and the reason for the change. This audit trail is crucial for accountability and security.

Preventing Administrative Lockout

It is important to ensure that at least one user account has administrative privileges to prevent being locked out of the system. If all admin accounts are deleted or their privileges are removed, you may lose access to critical functions and settings within Aronium.

In such cases, you would need to contact Aronium support for assistance in regaining access. Therefore, it is advisable to have multiple admin accounts as a precautionary measure.

That is why we recommend that you create at least one administrative "break glass" account, which is only used in emergencies.

Resetting Your Password

Passwords can be reset by an administrator, or directly from the login screen by clicking the "Forgot Password?" link. This will send a password reset email to the registered email address for the user account.

Database backups

Aronium includes a built-in backup feature that allows you to create backups of your database. You can schedule automatic backups or create manual backups as needed.

Aronium database backups can be stored locally 5, on a network drive, or in Box, Dropbox, Google Drive, or Microsoft OneDrive.

It is important to choose a secure location for your backups to prevent unauthorized access.

It is recommended to regularly back up your database to prevent data loss.
